The Challenge

As one of Europe’s fastest growing financial services companies, the client needed to maintain an aggressive customer acquisition and retention program. This required keeping its 5,000 strong new business and account management teams up to date with sales collaterals, regulatory compliant documents and forms. Not only that, the teams also needed to be able to have access to highly personalised variable data marketing literature on demand.

The procurement team needed a solution that allowed controlled, remote access and ordering capability for the entire user community within tightly controlled regulatory and spend limits. It was also critical to ensure a fully automated order processing capability, whether for stock items, documents or variable data with easy cost allocation – especially as the volumes were too high and average order value too low for manual processing.

The Solution

In conjunction with a leading print service provider, Claritum’s Customer Catalogue was deployed to 5,000 users across the UK. Orders are fulfilled and the catalogue maintained and updated by the print service provider.

For stock items, Claritum routes the order through to a highly automated pick, pack and despatch facility, with automated despatch booking, tracking and proof of delivery supplied by a third party courier. Demand is tracked to assess optimum replenishment costs. Pre-approved artwork (such as business cards and stationery) can be personalised and approved by users and line managers before being routed to the optimum supplier (according to pre-set parameters) for production and despatch.

Due to the volume of orders, invoicing is streamlined to allow pre-approved suppliers to flip the order into an invoice (once receipted) and tracks every line item to allow easy cost allocation.

The Result

The efficiencies delivered by the combination of Claritum’s technology and the print service provider has dramatically improved the service to the marketing, new business and account management teams at reduced cost to the client. The procurement team have, for the very first time, gained visibility and control over the spend in granular detail.
